How to set up Out of Office?

To set the Out of Office messaging for your business, you will need to first create 'Unavailable Messages'. These are available to ease up the setup and switch the messages based on the occasion, e.g. OOO message for Regular Business Hours, Festive/Holiday Unavailability, Emergency Shutdown etc.


Let’s start with creating Unavailable Message -


  1. Once you login to the panel, click on the merchant config on the left side - https://kwikos.tellephant.com/merchant 
  2. On the panel,  please click on Setup on the left side > Click on the Unavailable Message icon on the left side. > Click on Create Unavailable Message on the top of the right corner.
  3. Set an unavailable message as per your requirement. For Example. “ Thank you for contacting us at *Brand name*. We are unavailable right now. We would request you to kindly leave your query. We will respond as soon as possible during office hours. Our business hours are 10 AM to 6 PM IST."
  4. Once you setup the message, please click on save.

 

Once Unavailable message is setup, you can set the 'Out of Office'. Lets take an example for time slots of working hours 10 AM - 6 PM IST. 


  • Click on the out of office icon and the Out of office setup window will pop-out.

  • Please select the channel on which you want out of office message to be triggered, e.g whatsapp, facebook DM, Facebook Comments, Instagram DM, etc………

  • Copy the unavailable message on the “Unavailable Message” section.

  • Select the timezone “ Asia/Kolkata”.

  • Toggle “ Set your non - working hours” from left to right to setup the non working timings.

  • Taking the example of Working hours from 10AM  to 6PM Monday to Saturday. So the non working hours will start from 6:01PM till the next day 9:59AM.

  • Please select the slot for Monday 1st  and put the “Status” from left to right and “ Queued” If you want the tickets to be queued during the non working hours.
  • Now please select the “ Default” dropdown to select the unavailable message. 
  • Then select the non working hours which will start from 6:01PM and click on “Ok”. Now select the end time which would be till “ 11:59PM” as shown on the below screenshot and click on “Ok”. 
  • Now add another slot by clicking on “Add Slot” on the extreme right.
  • Now again please put the “Status” from left to right and “ Queued” If you want the tickets to be queued during the non working hours.
  • Now the next slot will start from 12AM to next morning 9:59AM as shown on the below screenshot.
  • Please follow the above settings for non working hours till Saturday 1st slot and the non working hours will start from 6:01PM till 11:59PM. For the 2nd slot of Saturday the non working hours will start from 12AM to the next day 5PM (SUNDAY) as shown on the below screenshot.

    • Now please go to the top and select the Sunday slot which will start from 5:01PM to 11:59PM. Now select second slot on Sunday and select the timing which will start from 12:00AM to next day 9:59AM.

8. Once you set up is completed then click on Save changes on top of the right corner.
